A typical workflow pertaining to processing leave application from employees involves an employee and their manager who is authorized to decide on the leave application. The actions which can be performed by an employee and the manager are as follows.

Submit

This refers to the online submission of the leave application form. An employee submits a leave application form by clicking the "Submit" button at the bottom of the screen.

Once a leave application is submitted, it is forwarded to the employee's manager who is required to decide on the application. Until the manager accepts or rejects the leave application, the available leave balance of the employee is reduced to the extent of the leave period in the application.

Re-submit

After an employee submits a leave application, he may choose to modify the application, say, request leave for different dates. In order to modify the application, the employee can make changes to the earlier-submitted leave application and click the "Re-submit" button at the bottom of the leave application page.

Please note that an employee can re-submit leave application only as long as the leave application submitted earlier has not been approved or rejected by the manager.

Withdraw

An employee can choose to withdraw his leave application submitted earlier by clicking the "Withdraw" button at the bottom of the leave application page. Once a leave application is withdrawn, it stands extinguished.

Please note that an employee can withdraw leave application only as long as the leave application submitted earlier has not been acted upon by the manager.

Cancel

After a leave application has been approved by the manager, the employee can choose to make a request for cancelling the leave application by clicking the "Cancel" button. The leave application can pertain to both past and future periods.

Once the Cancel button is clicked, the cancel request is forwarded to the manager. If the manager approves the cancel request, the corresponding leave balance is credited to the employee's account.

The cancel request can be withdrawn by the employee as long it has not been approved or rejected by the manager.

Approve

Once a leave application is submitted by an employee, it is forwarded to the employee's manager who is required to decide on the application.

The manager can approve the leave application by clicking the "Approve" button. Once the leave application is approved, the employee's leave balance is automatically reduced.

RejectA manager can reject a leave application submitted by an employee by clicking the "Reject" button. Once a leave application is rejected, it stands extinguished.
Return

A manager can return a leave application submitted by an employee by clicking the "Return" button. A manager returns a leave application when he does not want to reject the application, and is willing to consider the application with some modifications. For example, a manager may return a leave application asking the employee to re-submit the application for different leave dates.

Once a leave application is returned, the employee should either re-submit the application or withdraw the application. if the employee does not do anything about the leave application which has been returned, the leave balance, to the extent of the dates in the leave application which has been returned, will not be available for the employee's use.

Only when the employee withdraws the leave application which is returned, will the leave balance of the employee be increased to the extent of the leave days in the leave application.
